Description

The Johns Hopkins University Office of Vice Dean for All Children’s Hospital (OVD) is seeking to hire an Administrative Manager who will focus on supporting the organization’s integration with Johns Hopkins Medicine. The responsibilities require the development and management of education, clinical and research programs impacting Johns Hopkins All Children’s Hospital (JHACH). the department includes an office on the St. Petersburg, Florida campus and the Baltimore, Maryland campus. This position is located in the Florida office.

JHACH has a total of nine institutes/departments: which include the Institute for Brain Protection Sciences, Maternal Fetal Neonatal Institute, Cancer & Blood Disorders Institute, the Heart Institute, and the research institutes, Institute for Clinical Translational Research (ICTR) and Institute for Fundamental Biomedical Research. In addition to the institutes, JHACH has three departments including the Department of Medicine (Pediatrics), the Department or Surgery and the Department of Anesthesiology. Each institute and department are led by a triad leadership structure: a Medical Director, a Nursing Executive Director and an Executive Director of Administration. The institutes and departments have both employed physicians (hired through All Children’s Specialty Physicians) and JHU full time faculty physicians and/or research faculty within them. In addition to the institutes and departments, JHACH has research cores and service centers (i.e. Biorepository, Shared Instrumentation, Molecular Determinants Core) to further strengthen our ability to support the academic mission. JHU full time faculty also hold leadership positions within these cores.

The Administrative Manager’s primary focus is to develop, organize and ensure the successful completion of cross-entity projects emanating from integration activities, including business logistics, strategic alliances, academic transformation, project planning, coordination, and facilitation, along with the development and management of relationships with project related faculty, administrators and staff.

This position primarily supports multiple education focused programs and clinical departments/institutes. Includes finance and administrative activities, human resources activities, departmental budget and planning, facilities and compliance.

Will work as an integral part of the team within the ACH Vice Dean’s Office, providing project management in support of JHHS integration and the establishment of successful medical education programs, research initiatives, faculty development programs, and collaborations with established Johns Hopkins Medicine (JHM) experts in these arenas. The Administrative Manager work in collaboration with the Associate Dean for ACH and partners with the institute/department directors as our JHUSOM faculty increases on the JHACH campus (currently over 160 full and part-time faculty). This employee must be able to work independently and meet aggressive deadlines while managing multiple projects simultaneously.

*Some travel to JHU may be required for some training.

Specific Duties & Responsibilities

50% - Cultivate, develop, and support key cross-campus collaborations and strategic alliances between ACH, JHHS and JHM departments and divisions.

  • Will develop, plan and organize cross-entity and cross-department projects, serving as a key relationship manager.
  • Will work on collaborative projects involving multiple experts from two or more entities to achieve economies of scale or optimal functioning; may include projects such as, clinical practice enhancements, reinvention projects, and infrastructure integration, provide staffing and management support for recruitment of key positions for academic programs.
  • Key programs will Department of Medicine/Pediatrics, Center for Simulation, Office of Medical Education, among others, these duties are subject to develop over time.

Lead and facilitate organizational efforts for integration-related process improvement, business development, change management, systems redesign, and solutions development.

Responsibility for

  • Creation of clear and attainable project objectives.
  • Development of Cost Benefit Analysis, Business Plans, and Business models as required for projects.
  • Defining project requirements.
  • Managing cost, time, and quality.
  • Completion of project reports and all other documentation and work product.
  • Presentations of project timelines, updates.
  • Management and updates of RASCI’s of projects assigned and as needed.
  • Works with administrative team to establish policies and procedures where changes are needed.
  • Compile and develop high-quality reports, presentations, proposals, and written work products for collaborators and JHM/ACH senior management and Vice Dean.
  • Utilizing a high level of analytic ability, identify and illustrate relationships among activities and recommend courses of action based on analysis and trending of complex data.
  • Participate in and staff executive-level meetings, providing written minutes and action plans.
  • Ensure processing of faculty appointments, creation of faculty standards and expectations.
  • Track participation of full-time and part-time faculty at ACH in academic activities.
  • Assist with academic research, innovation and education projects and ensure faculty participation where needed.

Compensation analysis for academic positions. Utilize proper reference organizations and analyze candidate experience for proper ranking and compensation.

Responsibility for

  • Creation of clear and attainable project objectives.
  • Development of Business Plans and Business models as required for projects.
  • Defining project requirements.
  • Presentations of timelines, updates.
  • In partnership with Director of Medical Education, development of education alignment strategies with local entities and with JHM.
  • Partner with JHACH institutes and departments to attract, recruit and retain faculty talent and develop faculty packages for our environment within JHUSOM department compensation plans/structures.

10% Assist with the development of annual operating budgets for Vice Dean’s Office, with a projected annual budget of $40 million dollars.

  • Develop project-specific operating budgets within the project management process.
  • Access and review standard budget reports.
  • Oversee the budget reconciliation process.
  • Regularly analyze budget data to identify trends and improve processes and practice.
  • Gather and organize credible data to make a business case for changes and additional resources.
  • Oversight and reconciliation of ACH cost centers.

Special Knowledge, Skills, & Abilities

  • Knowledge of project management, financial analysis, and business/strategic planning. 
  • Competency with spreadsheet, database, presentation and word processing software.
  • Strong interpersonal skills and the ability to interact effectively and respectfully with others; strong written and oral communication skills necessary to interface with various levels of the organization.
  • Analytical ability necessary to identify and illustrate relationships among activities and recommend courses of action.
  • Able to organize, create and maintain detailed project plans and documents and effectively communicate the status of projects to all levels of the organization.
  • Attention to detail.

Minimum Qualifications
  • Bachelor's Degree in Business, Finance, Accounting or related field.
  • Five years progressively responsible professional-level administrative or financial experience related to monetary or non-monetary resources of a department, center or unit.
  • Master's degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Master’s degree, e.g. MBA, MHA, MPH, or related field.
  • Awareness of the JHM organizational structure.
  • Knowledge of health services environment and bio-medical research.
  • Management within an academic healthcare setting.
  • Experience with graduate medical education programs and clinical practices.
