Job Summary
Oversee the financial operations of the School of Information Sciences and guide associate deans and directors in the development of their budgets by providing specialized analysis and reports.
Duties & Responsibilities Assistant Director Finance and Business Operations
Financial Management and Operations:
Play a major role in developing the strategy and implementing the plan for expanding the iSchool's funds hierarchy/chart of accounts to accommodate School growth.
Provide technical advice to management on complex accounting issues. Act as a business consultant in addressing unique situations by providing financial solutions.
Reconcile monthly Banner financial statements. Analyze, research, document, and resolve discrepancies based on advanced
knowledge of accounting principles. Ensure compliance with University policy and fund intent. Provide insight and recommendations to management for improvements to policies, processes and systems.
Assist the Director in the administration of gift funds. Participate in the planning of discretionary fund use. Monitor all gift funds ensuring transactions are appropriate and in line with the fund's intended purpose.
Monitor revenue and expenses in self-supporting funds, ensuring transactions are appropriate and in line with the fund's purpose. Prepare and submit annual Fact Sheets for iSchool self-supporting funds.
Oversee the biennial inventory process.
Serve as the department card manager for the School's p-cards and t-cards.
Provide guidance to staff who perform business functions.
Budgeting and Planning:
With the guidance of the Director, implement financial models to predict budget impact of changes in enrollment, tuition, and operations. Use independent professional judgment to identify trends and anomalies.
By providing analysis and information serve as an advisor to associate deans/directors in the development of their budgets.
Provide monthly budget to actual reports to associate deans/directors assisting them in monitoring their spending.
When limited funding is available provide data to prioritize funding requests. Monitor fund balances and perform financial analysis to explain variance from budget.
Financial Reporting and Compliance:
Complete the annual Fiscal Control and Internal Audit Certificate. Ensure that iSchool business processes adhere to the FCIAA requirements. If necessary recommend and implement changes for compliance.
Compile data needed to complete the annual statistical report for the accreditation organization.
Audit and update the Activity Reporting System. Develop a method for collecting employee activities.
Other
Other duties could include but are not limited to representing iSchool finance on committees/teams; participating in continuing professional development activities; and conducting training of others performing finance functions within the iSchool.

All Assistant Director Finance and Business Operations duties and responsibilities and the following additional responsibilities:
Financial Management and Operations Leadership:
Lead the effort to reorganize and expand the Schools fund hierarchy responsible for strategy, project plan, and implementation. Implement a monthly reporting system that optimizes the new hierarchy.
Serve as primary financial officer for the oversight of the Schools gift funds. Partner with the Assistant Dean of Advancement in planning fund use.
Budgeting and Planning Leadership:
Recommend areas for financial modeling. Demonstrate the ability to independently develop and defend the models.
Through financial analysis identify concerning trends and perform in-depth analysis to identify root causes. Present findings to leadership and make recommendations for change.

Minimum Qualifications - Assistant Director Finance and Business Operations
Bachelor's degree in business administration, management, or a field related to the position.
Three (3) years of professional business, financial, and/or managerial work experience in a budgeting or accounting role.
Demonstrated experience in fiscal oversight.
Preferred Qualifications
Experience building financial/operational models using What-If scenarios.
Demonstrated proficiency in advanced data queries using such tools as Web Intelligence, ODBC, SQL, Microsoft Access, etc.
Knowledge, Skills and Abilities
Knowledge of University of Illinois systems including Banner.

Appointment Information
This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 4/1/2023. Salary is commensurate with experience.
