Department Summary
The Finance and Administration Shared Services Department (FASS) is located within the Finance and Administration portfolio. Finance and Administration is a vibrant and varied portfolio serving all aspects of campus life. Finance and Administration employees perform a wide range of functions including offering essential support to the Universities many departments, providing key resources to employees, and keeping campus safe. FASS provides department level administrative services to groups across the University in three areas: Business Operations, Human Resources and Information Technology.
The mission of the Finance and Administration Shared Service team is to provide professional and timely service, offering our expertise in a wide variety of functions. FASS is committed to providing superior customer service and creating partnerships with clients to ensure their needs are fulfilled to the highest standard.
The FASS unit provides administrative services for 20+ departments across several portfolios including:
- Campus Planning and Facilities Management
- Safety and Risk Services
- Campus Services
- University Human Resources
- Information Services
- Purchasing and Contracting Services
- The Office of General Counsel
- The Office of the President
The units supported by FASS constitute multiple large business enterprises consisting of more than 900 employees and a total operating budget in excess of $80 million.
Position Summary
The FASS Recruitment Specialist is an integral part of the recruitment efforts for the diverse portfolio of clients that FASS supports. They are someone who is committed to the integrity and equity of the search process, appreciates a varied workday, and values interacting with individuals at all levels of the organization. Their main role is to be an integrated member of various search committees, on which they have logistical and administrative oversight. This means working with hiring authorities on search committee selection, setting up meetings, providing training to search committee members, managing all documentation related to the search, and coordinating offers to candidates.
In addition to the logistical nature of this position, the incumbent will enjoy project management and working with supervisors on their organizational needs related to position description development and editing. An inquisitive mindset is very helpful, since our clients may need help determining the best course of action related to their recruitment needs.
The Recruitment Specialist should be willing and able to advance issues of diversity, equity and inclusion during the search process. This might mean illustrating and training on instances of implicit and overt bias in search committee meetings as a way to educate their colleagues in best practices related to candidate evaluation.
The incumbent works as a member of a team while frequently performing tasks independently, exercising independent judgment and decision making on a daily basis. These decisions include initial evaluation of staffing needs, implementation of initiatives to solve problems, determination of best method and materials necessary to perform a particular task, setting priorities, assessing customer needs and responding to those needs.
Work is reviewed regularly by the managing supervisor to ensure it is performed efficiently, effectively, and in a compliant manner. A performance appraisal is conducted annually.
Minimum Requirements - Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations;
OR - An equivalent combination of training and experience.
One year of post-secondary education may be substituted for up to one year of experience.

Preferred Qualifications - One-year experience in a human resources role
- Experience in staff recruitment
- Experience in the facilitation of meetings
- Experience working in a higher education setting
- Experience with MyTrack (or similar) talent management system
- SHRM or PHR Certification
