Reporting to the Director of Enrollment Services, the Associate Director provides effective management and leadership in the coordination of enrollment services and the highest level of counseling service for our students and families as it pertains to their academic and financial relationship to the University. Duties include participating in individual counseling sessions with students and families, answering telephone, e-mail and fax inquiries. The Associate Director is responsible for all the processing involved with service activity, and also for a specific caseload, assigned by the Director of Enrollment Services. Specific duties include advising students regarding their academic program, packaging and awarding aid, developing payment plans, overseeing bill clearance, accepting student payments and clearing student bills. The Associate Director will work closely with the Director and staff to correctly implement academic, financial aid and billing policies, procedures, and initiatives, which support the objectives of the campus offices and the University.
Principal Responsibilities: • Working with the Directors and other Associate Directors of Enrollment Services facilitate cooperation and coordination within the Enrollment Services division to help bring issues presented by students and families to a quick and clear resolution. Facilitates effective counseling and payment coordination of work processes and projects with other departments and divisions. • Develop understanding of the financial aid cost of attendance budgets, packaging plans, and disbursement rules. Develop understanding of the University's billing and refund structure, cashiering functions, payment plans, collection agreements, EOTs and 3rd party contracts, One Card functionality. Complete forms for students or outside agencies on a student's behalf. • Support holistic enrollment, financial aid counseling and retention operations, including: academic advisement, student account management; file review; review of student aid packaging; verification requirements; aid disbursement; payment plans, tuition remission; institutional aid management; campus-based federal aid and direct loan management. • Support campus and regional student financial service quality assurance activities with respect to: Federal, State, and institutional aid compliance; PeopleSoft student financial service applications; external website access; academic and financial services training; and internal and external audit management. • Assist the Director to provide academic and financial service training, student retention support, best practices, and guidance to Counseling staff and key representatives of other Student Service offices (e.g. Admissions, LIU Promise, Campus Life, etc.) to ensure that clear information and the tools necessary to successfully navigate the academic, financial aid, billing and payment process are available at all times to students and families in-person, via telephone, and through e-mail. • Participate on the Financial Aid Review Committee to evaluate and make recommendations on appeal, waiver and enhancement requests. • Working with the Director assist in the cross-training of staff throughout the campus to create a more knowledgeable and proactive "front line" in all offices related to enrollment and financial service activities and to promote a positive image of the department. • Manages outreach efforts and supervises Counseling staff in their handling of student and family inquiries to ensure proper service and coverage during office hours which may include assisting the student with the electronic submission of the FAFSA or Renewal FAFSA, apply for a Federal Student Aid ID, and complete electronic loan entrance/exit interview. Assist students with making corrections to FAFSA. • Represents the Enrollment Services division in on and off-campus recruitment/community service and enrollment events. • Manages the Counseling staff including consultation on performance evaluations, promotions, hiring and disciplinary responsibilities and provides leadership by projecting a positive attitude and learning incentives. • Assist the Director to ensure that student financial service-related counseling and retention strategies are incorporated into all printed and electronic media available to students and families. • Performs other duties and responsibilities as assigned by the Director of Enrollment Services.
Qualifications: Bachelor Degree required. Master's degree and at least three to five years of customer or student counseling services experience required. Excellent analytical, organizational and communication skills with a strong Customer/Student Service background including management and training of staff; track record of completing tasks and/or projects within budget and on schedule, ability to manage multiple high priority initiatives in a fast paced highly regulated environment, working knowledge of MS Windows, MS Office, Imaging Systems, Oracle databases and PeopleSoft environments.
Special Information: This position requires limited evening, weekend, and holiday hours throughout the academic year.
