The Special Projects Coordinator and Assistant to the Chief Administrative Officer (C.A.O.) will work on a variety of projects to assist the Chief Administrative Officer in managing University operations and supporting strategic initiatives. Projects are expected to occur in the following areas: construction and facility management, finance, auxiliary services, public safety and student services. This position serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Chief Administrative Officer’s office. This position serves in a multi-functional role working with the C.A.O. and other senior leaders on project planning, task coordination and implementing strategic initiatives.
Sh/e will help to facilitate strategic management processes, provide expertise, and program management for specific strategic initiatives and be responsible for interacting with colleagues across the college to ensure institutional alignment and synergy with the strategic plan. S/h will exercise considerable judgment in his/her capacity with the responsibility for analyzing policy issues, identifying College-wide impacts and coordinating responses to the C.A.O on strategies and alternatives for dealing with the issues. S/he will also be responsible for building and nurturing relationships to serve as a resource for the C.A.O and point of contact as designated for key constituents to resolve complex issues and help move forward strategic priorities; participating in key meetings with faculty, administrators, and others as needed and delegated; accurately representing the C.A.O position in internal meetings and discussions to help drive understanding and move decision-making forward; preparing standard correspondence as well as more complex communications; preparing reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources; assisting in analyzing data or preparing financial analysis with regard to special projects that are being managed; maintaining filing and record system; conducting follow ups on pending matters; and assisting with analyzing or administering complex issues that may be of a confidential nature.
Other duties include: communicating and/or coordinating Chief Administrative Officer’s instructions with various individuals and/or departments; preparing materials needed for conferences, correspondence, meetings, telephone calls, etc.; taking and transcribing meeting minutes and follow ups with agenda items with individuals and/or departments; drafting and printing daily correspondence items; managing project resource allocation as well as planning and scheduling timelines; tracking all project deliverables by monitoring and reporting progress; facilitating discussions as needed to advance project; preparing presentations, as directed by the C.A.O.; and cultivating positive relationships with university leaders and colleagues.
The ideal candidate must have a Bachelor’s Degree with 5 years or more of experience In Executive Administrative work and Project Management preferably in a university environment. S/he must be creative and enjoy working within an entrepreneurial environment that is mission-focused, results driven and community oriented. The ideal individual will have the ability to plan projects, analyze data, and provide recommendations to prevent or resolve issues, demonstrate strong written and verbal communication, administrative, supervisory, project management and organizational skills. This individual must be able to work on multiple projects, at times, and manage a wide variety of activities and confidential matters with discretion and poise. Some nights, weekends and travel as required.
